Terms of Use

1. The service

School Management System is a web service for running a school: fees, attendance, timetable, salaries, exams, certificates, letters, question papers, notices and a parent app. We may add, change or remove features. We will tell you about changes that matter.

2. Your account

You must be at least 18 years old and allowed to act for the school when you open an account.

Give correct information. Keep your password private. You are responsible for what happens under your login and for the people you give access to. Give each person only the role they need, and turn off people who have left (marking a staff member as left turns off their access to your school).

Tell us at once if you think someone else has your password.

3. The school’s responsibilities

You are responsible for the information you put into the system: that it is correct, that you have the right to use it, and that families know and agree, where the law requires, that the school keeps records about their children and staff.

You must use the system lawfully and only for your school’s work.

4. What you must not do

• break the law, or use the system to harm, cheat, harass or threaten anyone;
• put in information you have no right to use;
• try to see another school’s information, or to get past the system’s protections;
• attack, overload, copy or reverse-engineer the system, or send harmful code;
• share your login with people outside your school, or sell or rent access to the system;
• use the system to send spam.

If you break these rules we may warn you, suspend the account or close it.

5. Free trial and plans

Every new school can use the system free for 30 days without a card. After the trial, the school chooses a plan and pays for it. The price, length and limits of each plan are shown in the system when you choose.

Payment is made by EasyPaisa, JazzCash or bank transfer and is checked by a person on our side before it counts. Bills and reminders are shown in the system. A new price applies to the next bill; a bill already made keeps its price.

If a plan is not paid, the school first gets a grace period in which everything still works. Then the account becomes read-only (you can look, print, take your lists out and pay, but not change things). If it stays unpaid for a long time it is locked until it is paid. Your records are not erased because of late payment.

6. Your data

The information you put in stays yours. You give us permission to store it, process it and show it to the people you choose, only to run the service for you.

You can take your lists out (Excel) whenever you like, including after the trial ends.

We look after your data as described in the Privacy Policy and the Security page.

7. Our property

The system, its design, code, words and pictures belong to BrightCodeX and are protected by law. You may use them only as these Terms allow. The school’s name, logo and information remain the school’s.

8. Other services

Some features work with other services, for example WhatsApp links that open the school’s own WhatsApp, email delivery, and the payment companies you use to pay us. Those services have their own terms and we are not responsible for them.

9. Availability and changes

We work hard to keep the system running, but we cannot promise it will never be interrupted or free of mistakes. We may pause it for maintenance and will try to do that at quiet times.

The system is provided “as it is”. Results the system calculates (fees, salaries, marks, timetables) depend on the information and rules the school entered: please check important documents before you rely on them.

10. Our responsibility

As far as the law allows, we are not responsible for indirect or consequential loss (such as lost profit or lost goodwill), or for loss caused by wrong information entered by the school, by someone using a login that was not kept private, or by events outside our control.

As far as the law allows, our total responsibility for any claim is limited to the amount the school paid us for the service in the three months before the claim. Nothing in these Terms limits responsibility that the law does not allow to be limited.

11. Ending the agreement

The school can stop using the service at any time (see the Refunds & Cancellation page). We may suspend or close an account that breaks these Terms, is used for harm, or stays unpaid after the notice period, and we will explain why.

When an account ends, the school can take its lists out during the period described in the Privacy Policy. Parts of these Terms that are meant to continue (for example about our property and responsibility) continue after the account ends.

12. Law and disputes

These Terms are governed by the laws of Pakistan. We hope to settle any problem by talking first. If that does not work, the courts of Karachi, Pakistan may decide it.

13. Changes to these Terms

We may change these Terms. We will show the new date at the top and tell schools about changes that matter. If you keep using the system after a change, you accept the new Terms. If you do not agree, you can close the account.
